Virtual Meeting Tips
Due to state restrictions on public gatherings because of COVID-19, the City is having virtual online meetings by WebEx videoconferencing software. To provide public comment in an online City meeting first sign up to speak here. The information you provide is input into the WebEx software to allow your connection to the meeting. On the day of the meeting, typically shortly after noon, you will receive an email with a link to the meeting. If you do not receive a meeting link please contact the staff listed on the agenda
You will have 5 minutes to speak about your concerns during the public hearing portion of the meeting. The meeting chair will call on you at the appropriate time. When it is your turn to speak, please identify yourself and your City of residence before you speak.
Tips for making a Webex meeting successful:
- Flag your WebEx email invitation when you receive it so you can easily find it on the day of the meeting. If you have not received a WebEx meeting invitation, email the staff listed on the agenda (or here) to receive one.
- On a Mac or Android-based device, download the free WebEx Meeting app from the app store ahead of your scheduled meeting.
- Zoom configurations can sometimes be incompatible with Webex. If you are having difficulties making WebEx work, try a different browser than the one you use for Zoom.
- All software video conference solutions run through the web browser will ask for permission to use your microphone and camera, you must agree to this in order to participate.
- Take steps to ensure internet connectivity during the meeting. If your internet connection is slow, turn off your video to improve overall meeting performance.
- Log in 15 minutes before the meeting to resolve any technical difficulties before the meeting starts. Access the meeting from your Webex invitation. If you are having problems logging in, please email the staff contact so we can assist you. If you signed up before 12:00 that day a duplicate URL shortcut can be sent if requested. Copy and paste it into the browser.
- When signing into the meeting you must use the name and e-mail address you supplied staff in the original request to speak sign up. This is a security measure setup by design.
- Please stay muted when not speaking. Background noise is a significant distraction during virtual meetings because it is amplified. Turn off any electronic notifications and home phones. Put pets in another room.
- Work from a quiet, carpeted room. If your room is empty and uncarpeted, the audio will be hollow and echoey, which can be hard to listen to. If the room you are calling from does not have carpet, putting some pillows on the floor can reduce reverberation and create a warmer sound.
